By using Our Site, you are agreeing to comply with and be bound by these Terms and Conditions from your first visit. Your continued access to the Website and/or placement of an order constitutes your acceptance of these terms. If you do not agree with any part of these Terms and Conditions, please refrain from using this Website.

 

The terms "Prop-Pix," "we," or "us" refer to the owner of the website, Prop-Pix Ltd, with its registered address at [insert address here]. The terms "you," "your," or "yours" refer to the user, client, or visitor of our website, while "we," "us," or "our" refers collectively to Prop-Pix.

1. Introduction

This legal agreement is between Prop-Pix ("we," "us," or "our") and you ("you" or "your"). These Terms and Conditions apply to all commissions undertaken by Prop-Pix, unless otherwise agreed upon in writing. By placing an order via email (info@prop-pix.com) or by telephone (0191 3235508) or online via prop-pix.com, you agree to be bound by these Terms and Conditions. All orders, requests for commissions, or additional services are subject to Prop-Pix's acceptance, which will be confirmed once your order is approved, and will be governed by these Terms and Conditions.

Prop-Pix reserves the right to modify these terms at any time. Updated versions will be posted on our website or emailed to you. It is your responsibility to review the current Terms and Conditions periodically, as they are binding on you.

1.1. Prop-Pix is not obligated to perform any services if our representatives feel unsafe, exposed, or at risk in any manner whatsoever.

​

1.2. Acceptance of Prop-Pix's Terms and Conditions does not create an obligation to place a certain number of orders. Should the client choose to end the business relationship, no cancellation fees will apply; however, the client remains responsible for any work already completed and any outstanding invoices.

​

1.3. Prop-Pix reserves the right to approve or deny the opening of a credit account. To establish an account, the business must be registered with Companies House, have an operational website, and an email address with the same domain as the website. Online reviews may also be considered as part of the account approval process.

​

2. Placing orders

​

2.1. Orders may be placed via email (info@prop-pix.com), by telephone (0191 3235508), or online at www.prop-pix.com. Please note that an order is only considered confirmed once the client has received a confirmation email. Verbal agreements or phone confirmations alone do not constitute a confirmed booking.

​

2.2. To finalize a booking, we require the full property address, including the postcode, the approximate property size, access details, and the specific service package requested (e.g., photos and a floor plan, photos only, floor plan only, etc.).

​

2.3. While Prop-Pix strives to attend to all orders placed via email or telephone (and confirmed in writing by email) before 4 pm on the following working day, we cannot guarantee this. Fulfillment is subject to access being available or the designated contact being reachable.

​

2.4. Orders are processed on a "first-come, first-served" basis. While Prop-Pix can provide availability information over the phone, we cannot reserve slots without a formal booking from the client.

​

2.5. The Client is responsible for providing clear and accurate instructions to Prop-Pix. If a revisit is required due to incomplete or incorrect instructions, any additional costs incurred will be the Client's responsibility.

​

2.6. Orders will be delivered electronically via a secure link on the next working day, unless a different arrangement is specified and agreed upon prior to the appointment. For properties under 2000 SQFT, all images and floor plans are guaranteed to be sent to the email address provided within 24-48 Hours from the booking. by 6:00 PM the following working day, provided the appointment is scheduled no later than 4:00 PM. For floor plans larger than 2,000 SQFT, Prop-Pix will make every effort to meet the delivery deadline but may require additional time to ensure accuracy before returning the plans.

2.7. Photos will be provided in JPEG file format unless otherwise specified. We offer both high-resolution and low-resolution versions upon request, and watermarking services are available for an additional fee.

3. Pricing & Fees

​

3.4. Appointments canceled with less than 8 hours' notice will incur a cancellation fee of 50% of the total job cost.

​

3.5. The prices for floor plans are based on a Gross External Area of up to 2,000 sq. ft. For properties exceeding this size, an additional charge of £0.05 per sq. ft. will apply.

​

3.6. If you have a credit account with us, invoices will be issued on the 10th working day of each month, and payment is due within the terms specified in your agreement. If payment is not received by the due date, Prop-Pix reserves the right to charge interest in accordance with the Late Payment of Commercial Debts (Interest) Act 1998. Invoices will be sent via email unless you provide alternate instructions.

3.7. Key Collection & Return Service: We offer a complimentary key collection and return service for properties within a 3-mile radius of the pick-up location. For properties located beyond this 3-mile radius, an additional charge of £5 per mile will be applied for both the journey to and from the key pick-up location.

​

3.8. Virtual Tours, hosted by us include 3 months of hosting. If you wish to keep the links active beyond this period, an administration fee along with an additional hosting fee will apply, depending on the duration of extended hosting. If you notice that your link is no longer live or need a quote for extended hosting, please contact us at info@prop-pix.com.

Please Note: 360° Virtual Tours are not provided as downloadable files and must be hosted to maintain their interactive experience.

Refund Policy

Please be aware that we do not provide refunds once we have completed a visit to the property. Once our representative has conducted the site visit, the service is deemed delivered and is non-refundable.

​

4. Cancellation policy

​

4.1. Cancellations made with less than 8 hours' notice will incur a fee of £50. This fee applies in cases where the photographer is unable to access the property due to circumstances beyond their control, including instances where the vendor fails to keep an agreed appointment. Morning appointments must be cancelled the day before. This fee also applies to cancellations due to adverse weather conditions. If an order has not yet been scheduled as an appointment, no cancellation charge will apply. Prop-Pix reserves the right to review each cancellation individually before applying any charges.

4.2. If a delay of more than 20 minutes occurs due to issues such as lack of property access, ongoing construction, cleaning, or an incorrect address, the Client will be charged the cancellation fee and the booking will be cancelled. 

​

5. Floor plans

​

5.1. Our floor planners use their best efforts and care in creating floor plans. While Prop-Pix strives to ensure accuracy, all measurements are approximate, and floor plans are intended for illustrative purposes only. The plans should be viewed with this understanding, as all measurements, positions, fixtures, and fittings are approximate interpretations.

​

5.2. Floor plans are not scale drawings, and all measurements and areas are approximate, regardless of any disclaimers on the drawing. prop-Pix is not liable for any inaccuracies, errors, or omissions in the floor plans.

​

5.3. Garden and outdoor space measurements are approximate and are provided as length and width only. If precise measurements are crucial, we recommend consulting a qualified RICS surveyor. Prop-Pix will make every effort to measure accurately.

​

5.4. It is the Client’s responsibility to verify that the supplied floor plan accurately represents the property. Prop-Pix accepts no liability for any property valuations based on the measurements from our floor plans.

​

5.5. Prop-Pix will amend floor plans as requested in accordance with The Consumer Protection from Unfair Trading Regulations 2008 (CPRs). However, we cannot accept liability for any parts of the plan not drawn or for details not explicitly stated on the floor plan.

​

6. Photographs

​

6.1. At Prop-Pix, each image is meticulously converted from RAW format to JPEG, with advanced editing applied as a standard. This advanced processing includes correcting white balance, exposure, brightness, saturation, contrast, and lens distortion, setting the correct perspective, adding blue sky, removing wires and unwanted items, switching on lights if necessary, smoothing bed covers, and eliminating unwanted reflections, among other enhancements.

6.2. Prop-Pix is not responsible for any dissatisfaction with the final images due to factors beyond our control, such as adverse weather conditions or obstructions like parked cars in front of the property.

​

6.3. Any specific shots required must be specified at the time of placing the order.

 

7. Your Obligations

​

7.1. You will incur a £50 cancellation fee if prop-Pix is unable to access the property for a scheduled appointment. Please refer to our Cancellation Policy outlined in paragraph 4 for further details.

​

7.2. It is your responsibility to ensure that the property is in a presentable condition for photography or floor plan creation. Prop-Pix reserves the right to decline to photograph a property if it is deemed unsuitable due to its condition or cleanliness.

​

7.3. You are responsible for ensuring that the use and distribution of photographs, virtual tours, and floor plans comply with all applicable legislation, including The Consumer Protection from Unfair Trading Regulations 2008 (CPRs). You also warrant that you have the necessary authority to commission the photography or floor plan services and to grant prop-Pix access to the property.

 

8. Copyrights & Intellectual Property

Prop-Pix retains exclusive ownership of all copyright and intellectual property rights associated with the visual materials and resources produced by us, including all content on this Website. All images provided by Prop-Pix are protected under the Copyright, Designs and Patents Act 1988 and remain the property of Prop-Pix at all times. No images may be downloaded or utilized for any purpose without the explicit written consent of Prop-Pix.

9. Limitations as to Use

​

Digital resources created by Prop-Pix are intended solely for use within your company and may not be used by affiliated or other companies without the explicit written consent of both your company and Prop-Pix. Should such a situation arise, Prop-Pix reserves the right to impose a processing fee applicable to both parties involved.

 

10. Service Access

10.1. Although we aim to keep this Website accessible 24 hours a day, we cannot be held liable if it becomes unavailable at any time or for any period.

10.2. Access to this Website may be temporarily suspended without notice due to system failures, maintenance, repairs, or other reasons beyond our control.

13.4.14. Stand-alone outbuildings (e.g., sheds, stores, garages) are excluded from the total square footage.

14. Acceptable Usage Policy
